Description
The addon Wait List Manager creates automatic waitlists for sold-out Event Espresso events, capturing additional registrations that exceed the ticket’s maximum capacity and organizing participants by arrival order in the admin panel. When spots become available due to cancellation or increased limit, the module automatically promotes the next in line and triggers email notifications, eliminating manual waitlist management for high-demand events.
Main Features
- Queues per event and ticket
Creates independent waitlists for each event or sold-out ticket type. - Automatic promotion of attendees
Moves the next in queue to confirmed registration as soon as a spot is released. - Customizable email notifications
Sends automated messages to inform the participant about queue status and spot offer. - Dedicated admin panel
Allows viewing, reordering, and manually managing the waiting attendees directly in Event Espresso’s admin. - Configurable queue size limit
Defines how many registrants can enter the queue per event, preventing infinite queues and false expectations.
Benefits of the Wait List Manager
- Recovered revenue in sold-out events
Automatically fills cancelled spots instead of losing registrants who already showed interest. - Less manual management work
Eliminates parallel spreadsheets, individual emails, and manual control of priority order. - Transparency for the public
Registrants know their position and receive clear communication when a spot is offered. - Higher occupancy rate
Ensures full rooms and talks even with last-minute cancellations.
Who Is It For?
- Conference, workshop, and training organizers with limited spots and high demand.
- Schools, educational institutions, and in-person courses that need to manage waitlists by class.
- Event promoters, retreats, and exclusive experiences wanting to leverage cancellations without rework.
Targeted at those already working with Event Espresso and facing the recurring issue of sold-out events before deadlines, this component closes a significant gap in the native registration flow. By automating the queue, promotion, and communication, it frees the organizing team to focus on event production itself rather than managing interested parties manually when someone backs out.
